Job Responsibilities

North Wind Group is currently looking for a Professional Development Program Associate. In this entry level role, individuals will rotate through several different departments within our organization, including but not limited to Accounting, Project Controls, Human Resources, Contracts, Communications, Estimating and Proposals. This rotational program has been developed to give our newest employees the opportunity to learn how our different departments collaborate as well as provide them an opportunity to find where they excel and are most effective.   This person must be able to change roles on an as needed bases and bring energy to and engage in diverse and challenging work. ESSENTIAL DUTIES AND RESPONSIBILITIES:

1.     Accounting

-      Work in accounting software to perform A/R, A/P, contract entry, reconciliations and reporting functions.

-      Work with financial information by researching and analyzing accounting data; preparing reports.

2.     Project Controls

-      Help manage the companies’ cost and schedule.

-      Assessing and analyzing project risks.

-      Controlling project documentation.

-      Work with financial services for designated clients or projects.

3.     Human Resources

-      Completing various HR tasks in support of the corresponding policies, programs and practices.

-      Processing benefit enrollments and terminations.

-      Working within HR database and systems to complete the day-to-day operations within the department.

4.     Contracts

-      Assist in the solicitation process by responding to RFPs, RFQs, BAAs and other requests for offers

-      Assist in the drafting of subcontract documents.

-      Invoice management of subcontracts and purchase orders.

-      Assist with purchase orders and consulting agreements and terms and conditions.

5.     Communications

-      Provide a variety of communications and public involvement support.

-      Assist in the development and production of creative, high-quality and cost effective communications for key audiences (clients, regulatory agencies, and the general public) using multiple media and tools.

-      Contribute content to and updates websites; ensure timeliness of all information; coordinates content updates with clients, programs, and other units.

6.     Estimating

-      Assist with the development of Work Breakdown Structures (WBS).

-      Assist with controlling the cost estimate effort throughout the bid process.

-      Work with clients, architects, engineers, subcontractors and suppliers to assist in preparing and finalizing estimates for a wide variety of projects.

-      Contact vendors for pricing.

7.     Proposals

-      Assist in the preparation and submittal of proposals that are compliant with solicitation instructions. Analyzes a wide variety of solicitation types and develops outlines and compliance matrices and tracks the fulfillment of all requirements.

-      Assist in the development of proposal format, file directories, and manages iterative versions of the proposal.

-      Prepare data calls for information needed from team members to fulfill solicitation requirements.

-      Assist with the submission of questions regarding solicitation requirements to the potential client, assists in composing questions, and distributes answers to questions to the proposal team.

-      Check for amendments to solicitations and distributes amendments and instructions to the proposal team.

Qualifications

EDUCATION and/or EXPERIENCE:

 

-      Bachelor’s Degree is preferred, but attributes of success are most important

-      Basic IT Knowledge – Must possess significant functional computer skills including use of mainstream business software including, but not limited to: Microsoft Office – Microsoft Word, Outlook, Excel, PowerPoint, Visio, Adobe Professional, Internet navigation.

LANGUAGE SKILLS:

Requires moderate interpersonal and communication skills in dealing with others to ensure that customer requests or needs are met.  Acknowledges and clarifies customer inquiries, requests, or complaints to ensure that needs are identified, documented and addressed.

 

MATHEMATICAL SKILLS:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

 

REASONING ABILITY:

Ability to apply common sense understanding to carry out detailed written and/or oral instructions; ability to deal with problems involving variables in non-standardized situations.

 

Communication: Communicates clearly and concisely in speech and writing.  Demonstrates understanding of and sensitivity to unspoken meaning and nonverbal cues.  Facilitates communication across the organization and effectively interfaces with customer, contractor, and site personnel on a daily basis.

 

Skill Sets: Demonstrates effective use of systems, tools and other resources to reflect understanding and clear insights of processes, systems and methodologies of process improvement.  Ability to visualize alternative processes and think conceptually. 

 

Reasoning Ability:  Ability to define problems, collect data, establish facts, and draw valid conclusions.  Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.  

 

KNOWLEDGE, SKILLS, & ABILITIES:

Minimum knowledge required to perform adequately in this position will require knowledge of specialized rules, procedures, practices, or operations acquired through substantial training or experience. 

 

PHYSICAL DEMANDS:

While performing the duties of this job, the employee will be sitting for long periods of time in an office environment, but will also be required to stand, walk, and talk or hear.   The employee is often required to use hands or fingers to handle or feel, and reach with hands and arms. The employee must occasionally lift and/or move up to 50 pounds.

WORKING ENVIRONMENT:

The majority of work is conducted indoors.  The employee may be exposed to moving mechanical parts.  The noise level in the work environment is usually moderate.
