Job Description

North Wind Group, a CIRI company, is seeking a full-time Proposal Coordinator to support proposal efforts for various North Wind Group subsidiaries. This position will be located in our Knoxville, Tennessee office.

PURPOSE:

The Proposal Coordinator will coordinate with the Proposal Manager to write, format and produce responses to Requests for Proposals (RFPs), Requests for Information (RFIs), and Sources Sought notices. This includes editing, print production, presentation development and written assignments under tight deadlines.

ESSENTIAL DUTIES/RESPONSIBILITIES:

Proposal Coordinator is responsible for specific aspects of proposal preparation, including the following:

  • Analyzing RFPs/RFIs for format and content requirements
  • Tracking amendments/modifications to solicitations and distributing to proposal team as appropriate
  • Developing technical proposal templates and style guides
  • Developing resume and past performance templates and content
  • Developing proposal production schedules
  • Coordinating Past Performance Questionnaire submittal
  • Researching, writing and editing proposal content as assigned by the Proposal Manager
  • Developing and maintaining, as necessary, corporate boilerplate for use in future proposals
  • Tailoring resumes and project descriptions to align with proposal requirements
  • Reviewing, incorporating, and formatting information from subject matter experts and team partners
  • Maintaining version control of draft proposal materials
  • Preparing/submitting questions to the client for solicitations/proposals in progress and reviewing/distributing responses to the proposal team as they are posted
  • Coordinating logistics for Plan-of-the-Day meetings, conference calls, and proposal review meetings
  • Coordinating proposal production with Proposal Manager
  • Coordinating proposal delivery with Proposal Manager
  • Maintaining/updating electronic files and records of proposals upon submittal
Qualifications

SKILLS AND ABILITIES:

  • Must be detail oriented and have excellent organizational skills with self-directed ability to manage multiple project and priorities
  • Must be a team player. Requires strong interpersonal skills and the ability to develop, nurture and build internal and external relationships with a wide variety of professionals who support proposal teams
  • Must have superior written communication skills, including thorough knowledge of proper grammar, advanced vocabulary, spelling, editing and proofreading skills, with an emphasis on the presentation of complex technical material in a meaningful way to the layperson
  • Must have the ability to work independently, as well as with a team, with very little direction
  • Must have the ability to make decisions, solve diverse problems, exercise good judgment and work effectively under pressure
  • Must have an expertise in Microsoft Office software, to include Word, Excel, PowerPoint, and Visio. InDesign and Illustrator experience a plus

QUALIFICATIONS:

  • Graduate with a preferred concentration in English, Communications, Graphics & Design or Business Development and two years of proposal coordination experience, or a proposal coordinator with five years of experience
  • 3-5 years of experience in proposals is highly desired
