Job Description

Lead and direct team in document retrieval, scanning, quality control, quality assurance, and filing operations. Interact and arrange operations with client personnel at client site. Travel, execute, and lead operations at client site with team. Support project management, prepare planning documents and reports, ensure operations stay on project schedule, and assist with client meetings and documentation.


• Organize and streamline operation workflows and direct team in document retrieval, scanning, quality control (QC), quality assurance (QA), and filing operations.
• Manage team in high end and large format scanning, QA/QC, and following set processes.
• Record appropriate and relevant information for client meetings and document processing standard operating procedures.
• Collaborate with the Project Manager and evaluate recorded document and scanning information and make recommendations.
• Ensure each project operation stays on time.
• Arrange project operations with client personnel as well as arrange for travel and logistics.
• Interact with client personnel at client site to execute on-site operations.
• Collaborate with project managers, subject matter experts, and other client personnel about documents during on-site operations and meetings.
• Follow general guidance and be able to select appropriate document sets and make suggestions to client and project manager to focus selection coverage to achieve project goals.
• Assist in the preparation of planning documents and reports, client meetings and documentation, and document processing standard operating procedures for client.
• Utilize standard software applications including MS Office applications and Adobe Acrobat.
• Travel approximately 25%.

Desirable Skills:

• Bachelor’s Degree in information management or related field.
• Must have a minimum of 2 years of experience in digital document management areas and 5 years is preferred.
• Current CPR/First Aid

Special Skills Training or Certification Required:

• Demonstrated ability to configure and use computer and peripherals, including both high end and large format scanner peripherals and software, and diagnose and solve technical problems encountered.
• Ability to conduct and quality assure optical character recognition (OCR).
• Demonstrated ability to lead a team, direct team members, and perform assignments at own workplace and at client sites.
• Ability to follow set processes and procedures as well as able to adapt to evolving processes.
• Strong communication, collaboration, attention to detail, and organizational skills.
• Demonstrated ability to work accurately, follow instructions/schedules/timelines and handle multiple priorities.
• Excellent proof-reading and writing skills.
• Ability to lift 30 pounds, and able to climb ladders.
