Job Responsibilities
North Wind Solutions is currently seeking an Executive Assistant/Principal Management Analyst to support work under our Joint Staff Contract in Suffolk, VA.

Job Summary: 


• Correspondence. Prepare drafts and finalize formal and informal documents; create or update administrative text documents, spreadsheets, tables, reports, instructions, memoranda, briefs and presentations. Create, edit (grammar, flow, format) and smooth Division-authored documents in preparation for electronic publication and printing. Prepare official correspondence and documents for government signature or approval, including but not limited to letters, notices, reports, messages, instructions, and memoranda. Develop and maintain correspondence templates for the on-line availability of correspondence on classified and unclassified networks. Maintain, file, disseminate and retrieve hardcopy and electronic official documents.
• Records and Knowledge Management. Support information storage and retrieval for Division government and military personnel use in presentations, briefings and reports. Research, locate and compile data, and adapt existing government information from files, archives and other authoritative sources to create or modify administrative documents. Maintain paperless archives and post current files on two networking levels (classified and unclassified) and to the common access network drives and portals. Adhere to National Archives and Records Administration and Joint Staff Records Management Program standards. Serve as site manager or coordinator, as directed, for Division portals. Ensure that Division portal are maintained and have accurate information.
• Travel. Monitor execution of travel funding and assist personnel with travel authorizations and vouchers. Perform Defense Travel System (DTS) authorization and voucher reviews, and non-DTS Entry Agent functions as required in support of government personnel traveling for extended periods of time without access to DTS.
• Administrative and Management Support. Perform administrative and management support actions such as processing and tracking: inventory of hardware, software and other office equipment; travel approvals; travel funding and cross-organization approvals; Joint Staff Actions Processing (JSAP) and internal taskers; trouble calls for Division equipment and facilities; Division portal (e.g. sites, documents, links, libraries, announcements, lists, contacts); Division calendar(s); office supplies; and, personnel actions to include military and government evaluations and appraisals, awards, training and related documents. Coordinate  information and maintain documents describing the mission, processes and products. Support the maintenance of JSAP actions by tracking and monitoring the status, and preparing and transmitting reports weekly to Division management to ensure actions are completed in a timely manner. Complete follow-up actions on any overdue JSAP action to ascertain the reason for delay and expected completion timeframe. Analyze, identify and recommend tasking process revisions and additions as specific issues arise and require additional tasking and oversight management and reporting.
• Meetings and Events. Coordinate, document (agendas, briefings, visit request, calendars, clearances, visitors, equipment etc.), and support meetings, briefings and conferences for key visits and events, including external, internal, and audio-video/video-t eleconference (AV/VTC) and web based collaboration environment events. Coordinate
electronic invitations, event registration, and user access for FJFD event participants. As required, provide on-site support for FJFD hosted events, generally in Suffolk and the National Capital Region. • Security and Classification. Review documents and submit classification marking corrections, and provide classification and
foreign disclosure recommendations to the Division Chief. Perform OPSEC risk manager/coordinator duties, as directed. Perform safe security duties for assigned Division classified container(s) and events. Maintain quarterly inventory of classified items. Perform space custodian duties for Division rooms. Maintain security container and room standard operating procedures.
Qualifications
Requirements:
  • BS/BA Degrees
  • 5 years minimum experience
  • Must have proven experience with the Defense Travel System. 
  • Must be proficient in all MS Office Suites
  • SECRET CLEARANCE REQUIRED
